Prioritising important tasks and working ON your business (instead of just IN it!) can be HARD! We spend so much time being “busy”, but how many hours do we actually spend being productive?
Working in your business and in your personal life, tasks are often prioritised according to the needs of others or the immediacy of deadlines. You want to get as much done in the least amount of time so you can get on to those tasks that actually move the needle forward, but unfortunately, there’s always something that pops up out of your control, and you’re not a superhero – you can’t stop time or turn back the clock.
So how do we turn things around and focus in on what’s most important? The answer is thoughtful prioritisation which typically involves creating an agenda, assessing the task and allocating time to do the task at hand.
When prioritising tasks, remember these few tips:
Make a list of everything you need to achieve for the day, week. This way you have a clear idea of what you have ahead of you. Be sure to include personal tasks, these take up your time too and not accounting for them will throw your day out!
Understanding your goals and the steps you need to take to work towards them is crucial. If it’s a long term goal, break down the larger tasks into bite size pieces so it doesn’t seem so overwhelming!
Set clear deadlines and highlight what’s urgent.
Estimate the time each task will take you to complete and set realistic expectations to achieve your goals so you can gain a sense of accomplishment. You don’t want to be overly optimistic, this will only lead to disappointment.
Turn off your email notifications for the duration of the task, or set allocated times to check it. Put your phone on silent mode and face it down. That way you won’t see every notification popping up and be tempted to scroll!
Do you ever review your to-do lists and realise the 1 or 2 tasks get lost at the bottom every time? This is why reviewing them will help show you what you’ve missed and you can figure out why they’re not getting done. By regularly reviewing to-do lists, you may be able to cross off several completed tasks, leaving you feeling super accomplished!
Remember, prioritisation needs to be flexible. Be sure to allow time for distractions. You never know when urgent things will pop up that you need to take care of!
